Account & credit balance

CommuniQore uses one credit balance for every product, with no monthly subscription. Credits are deducted as you use a product: per chatbot reply, per WhatsApp message sent, per meeting participant-minute, and per agreement sent. Credits never expire.

  • Balance and history: open Company group › Credit balance. Every charge is listed with its product, time and amount.
  • Top up: on the same page, choose a package and pay with any available method. Credits arrive automatically once payment clears.
  • On behalf of a company: register your company under Company group › Companies & subsidiaries. On the Credit balance page, use the option to pay for your product usage from this balance to bill your usage to the company balance.
  • When the balance runs out: the chatbot stops answering, WhatsApp messages are not sent, and new meetings cannot start until you top up. Messages that fail to send refund their credits automatically.

AI Chatbot

The chatbot answers customers from your own business material — on your website widget, a public chat page, WhatsApp, Telegram and Messenger. The order is always: create a bot → add sources → sync → test → publish.

Creating your first bot

  1. Open Chatbot › Manage BotsCreate a new bot. Its name shows in the widget and chat page, so choose one customers recognise, such as Store Assistant.
  2. Status and languageKeep the status at Draft while preparing, then switch to Active once testing looks good. Pick the Default Language, and fill Knowledge Languages with the languages your sources are actually written in.
  3. Answer ScopeStrict Sources answers only from your sources — safest for prices, policies and procedures. Contextual Relevance still prefers sources but is more flexible. Broad Assistant may answer beyond your sources; use it only if you are comfortable with answers that do not come from your business documents.
  4. Messages and instructionsThe Welcome Message appears when a chat starts, the Fallback Message when the bot finds no answer. The System Instruction sets tone and limits, for example: be friendly and brief, never invent prices, refer to an admin when data is missing.
  5. Example questionsFill Example Questions with up to three questions, one per line. The widget shows them as clickable chips under the welcome message.
  6. Appearance and contactsUpload a background image for the public chat page and add WhatsApp, Instagram, Facebook, TikTok or LinkedIn links so customers can keep in touch.

Tip: turn on Show References and Require Reference for Knowledge Facts while testing, so your team can see which source each answer came from.

Adding knowledge sources

Answer quality depends on the sources you provide. Open Chatbot › Sources, or the Sources section on the bot's page.

Source typeGood forWhat to fill in
Manual FAQHow to order, opening hours, payment, warranty, shipping.Question and Answer — write the final answer as customers should read it.
Single PageOne page: an FAQ, product or policy page. The full Entry URL of that page.
Website URLMaterial spread across many pages.A Single URL, or Import Sitemap with an address such as https://example.com/sitemap.xml.
Document UploadCatalogues, SOPs, price lists.PDF, TXT, MD, HTML or HTM files containing real text — not scanned images.

After adding or changing a source, run Sync Source (or Sync All from the bot's page). Check Latest Sync Status, Data Total and Last Synced At. If Data Total is still empty, the bot has nothing to answer from yet.

Testing answers

What to ask

  • Information that is in your sources.
  • The same question in different words.
  • Something not in your sources, to see the fallback message.
  • Whether references appear when Show References is on.

If an answer is off

  • Fix the source content, not only the bot instruction.
  • Add a manual FAQ for answers that must be exact.
  • Sync again after changing a source.
  • Use a stricter Answer Scope.

You can also try a sample bot on the demo page.

Website widget & public chat page

In Chatbot › Manage Bots, select the bot and click Install Widget. You will see the Script Embed, Iframe Embed, the Public Chat Page link, a readiness checklist and a preview.

  1. Make sure the bot status is Active.
  2. Fill Allowed Domains with the domains where the widget will run, such as example.com or app.example.com.
  3. Choose the widget position, and enable the movable option if visitors may drag the chat icon.
  4. Copy the script embed and paste it into your website.

No website yet? Share the Public Chat Page link — a ready-made chat page with your bot's name, language and social links.

Connecting WhatsApp, Telegram or Messenger

Open Chatbot › Channels, create a channel, choose the bot and the channel type. Keep the status Disabled until setup is complete, then click Setup on the channel row to see the Webhook URL, Verify Token and readiness checklist.

WhatsApp (QR Code) — fastest

No Meta Developer account or business verification needed. It works like WhatsApp Web.

  1. Choose the WhatsApp (QR Code) channel, save, then click Setup.
  2. Click Connect WhatsApp; a QR code appears.
  3. On your phone, open WhatsApp › Linked devices › Link a device, and scan the QR code.
  4. Set the channel to Active and send a test message from another number.

The QR route is not Meta's official route. Use a dedicated business number, not your main personal one, and follow WhatsApp's rules — numbers reported by recipients can be restricted or blocked. Do not remove the CommuniQore device from Linked devices, or the bot will stop receiving messages.

WhatsApp Cloud API (Meta's official route)

  1. Set up an app in Meta Developer and enable the WhatsApp product.
  2. Get the Access Token and Phone Number ID.
  3. In CommuniQore choose the WhatsApp channel and fill in the Access Token, Phone Number ID and a Verify Token (a secret text you make up).
  4. Save, click Setup, then enter exactly the same Webhook URL and Verify Token in Meta Developer and subscribe to message events.
  5. Activate the channel. Meta bills per-message fees directly to your Meta account, separate from CommuniQore credits.

Telegram

  1. Create a bot with BotFather and copy the Bot Token.
  2. Choose the Telegram channel, paste the Bot Token, save, then click Setup.
  3. Open the Telegram setWebhook link once, activate the channel, and send your bot a test message.

Messenger

  1. Set up a Facebook Page and a Meta Developer app with the Messenger product.
  2. Choose the Messenger channel and fill in the Page Access Token, Page ID and Verify Token.
  3. Enter the same Webhook URL and Verify Token in Meta Developer, subscribe to message events, then activate the channel.

The readiness checklist in the Setup window must be all green: bot active, channel active, webhook generated, token filled and — for WhatsApp Cloud API and Messenger — Phone Number ID/Verify Token filled. A yellow item means the channel is not ready.

Inbox & taking over a conversation

Every conversation lands in Chatbot › Inbox. For WhatsApp, Telegram and Messenger conversations, switch from bot mode to human mode in one click and reply from the same screen with the full history in view. For the website widget, the conversation is stored in full and the customer can continue through the WhatsApp link you place on the widget.

WhatsApp Broadcast

Message many contacts who gave permission, one at a time, at a pace that looks like a person typing.

  1. Prepare a sender numberIn Chatbot › Channels, create a WhatsApp (QR Code) channel for your marketing number and scan its QR. Keep it separate from your support number.
  2. Set the pace in WA Broadcast › Sender NumbersChoose that channel. Defaults: send 08:00–20:00 Jakarta time, 45–150 seconds between messages, a 10–25 minute break every 20 messages, 20 messages on day one (+10 per day) up to 100 per day, and at most one message per contact every 3 days.
  3. Add contacts in WA Broadcast › ContactsAdd them one by one or use Import CSV with the columns number, name, tag. Numbers starting with 08… become 628…. Record where each contact's consent came from.
  4. Create a campaign in WA Broadcast › CampaignsWrite the message, choose the recipient tag, click Start / Pause, check the recipient count and preview, then Start.
Write in the messageResult
{Hello|Hi|Good afternoon}One random choice per recipient, so no two messages are identical.
{{nama}}The contact's name.
{{nama|there}}The contact's name, or "there" when empty.
{{nama_depan}}The first word of the name.
{{telepon}}The contact's number (+62…).
  • Automatic opt-out. A "Reply STOP …" line is added at the end of the message. Anyone who replies STOP will not be messaged again from that number, in any campaign. The list is under WA Broadcast › Opt-outs.
  • Automatic brake. Numbers not on WhatsApp are marked and skipped. When too many numbers fail or are unregistered, the sender pauses itself — a sign of a stale contact list.
  • Track results in WA Broadcast › Message Log.

Bulk messaging over the QR route still breaches WhatsApp's terms, and recipients' reactions are the biggest cause of blocks. Only message contacts who actually want to hear from you.

WhatsApp API (OTP & notifications)

Send OTP codes and transactional messages from your own app or website, through a connected WhatsApp (QR Code) number.

  1. Create an appIn Chatbot › Channels, on the WhatsApp (QR Code) channel row, click the WhatsApp Gateway API Key action (key icon) › New. Enter the app name and the brand name shown in messages. Use one app per website that calls the API.
  2. Create a keyIn the app list, click API Key & Test › Create key. The wag_… key is shown only once — store it on your server.
  3. TestSend a test code to your own number from the same panel.
  4. Call the API from your backendSend the header Authorization: Bearer wag_… to the endpoints below. Never put the key in browser JavaScript.
Endpoint (POST, JSON)Purpose
/api/wa/otp/sendSend an OTP to phone; keep the request_id from the response.
/api/wa/otp/verifyCheck the request_id and the code the user typed. Five wrong tries lock the code.
/api/wa/otp/statusCheck the OTP status on the server before acting.
/api/wa/sendA free-form message (max. 8,000 bytes) — only if the app has Allow free-text messages on.
/api/wa/checkCheck that the key is accepted and the sender number is connected.

Customers who reply to an OTP or notification reach that number's chatbot or support team directly, and the conversation shows up in the Inbox.

Online Meetings

Video meeting rooms behind a link. Participants just open a browser on laptop or phone; guests without an account simply type their name.

  1. Create a roomOpen Online Meetings › Create Meeting Room. Choose access for anyone with the link or only people with an account on this site, and set a passcode and waiting room if needed.
  2. Share the linkFrom My Meeting Rooms, copy the invitation link and send it to participants.
  3. Run the meetingAs host you can admit or decline people in the waiting room, mute, remove, and end the meeting for everyone. Everyone can share their screen and use chat.
  4. See attendanceWho attended, when they joined and for how long is recorded automatically on the room's attendance page.

Meetings are billed to the host's balance per participant-minute (150 kredit per participant-minute). Example: a 1-hour meeting with 5 people = 300 participant-minutes. Time in the waiting room is not counted, and guests pay nothing.

Electronic Agreements

Agreements are made on behalf of a company. Register your company first under Company group › Companies & subsidiaries.

  1. Prepare counterparties and templatesSave the other party's details under Agreements › Partners. For documents you reuse, create a Template; its variables fill in from your company and partner data.
  2. Create an agreementOpen Agreements › New agreement. Use a template, or upload an existing PDF or Word file. Choose the language (English or Indonesian) and set who needs to sign.
  3. SendThe content is frozen as version 1, numbered, and a private link is sent to every signer.
  4. NegotiateSigners can propose revisions per clause (for template-based documents) or decline the document. You decide; every change becomes a new version.
  5. SignSigners draw a signature or type their name, accept the consent statement, then enter an OTP code sent by WhatsApp or email.
  6. DoneThe final PDF carries the agreement, signature blocks, an evidence sheet and a QR code, digitally sealed. Anyone can check it is genuine through the QR code or verification link.

Rate: 10.000 kredit per agreement, charged once when first sent. Drafts and revisions are not charged.

Signatures on CommuniQore are electronic signatures backed by consent records, OTP and a document seal — not certified signatures from a licensed certification authority. For documents that need stamp duty, the serial number and stamped PDF from the official provider are recorded on the agreement.

Go-live checklist
